Position Title: Coordinator - Programme Quality and Conservation Impact
Reports to: Director Program Quality – Africa (Dotted line to Director Conservation Impact – Africa)
Duration: One-Year Contract
Location: Nairobi
Working Schedule: 5 Days a week
Payment: Monthly, at the end of each month
Purpose of the Role:
The Coordinator for Programme Quality and Conservation Impact will provide high-level administrative, technical, and programmatic support to the Director of Program Quality and the Director of Conservation Impact for Africa. The Coordinator will ensure smooth operation, effective communication, and coordination across multiple teams and regions, contributing to the success of conservation projects and strategic initiatives in Africa.
Key Deliverables:
Weekly Alignment on Deliverables:
- At the beginning of each week, meet with the Directors to align on priorities and deliverables for the week. Ensure clarity and agreement on tasks to be accomplished.
Administrative and Technical Support:
- Efficiently manage the calendars and meeting schedules of the Directors, proactively adjusting as necessary.
- Draft, edit, and review documents, reports, and correspondence, ensuring high-quality outputs.
- Prepare and manage logistics for meetings, events, and trips, including flights, visas, accommodation, and conference details.
Meeting Coordination and Facilitation:
- Organize and coordinate regular management team meetings and strategic sessions, ensuring accurate documentation of action points and minutes.
- Ensure seamless logistical and IT support for in-person and virtual meetings, including facilitating workshops and conferences.
Project Management Support:
- Track and report on relevant projects across the Africa region, ensuring timely follow-ups and communication with stakeholders.
- Support procurement, recruitment, and budgeting processes related to programme quality and conservation impact projects.
- Liaise with cross-functional teams to ensure operational excellence and timely delivery of outputs.
Stakeholder Engagement and Communication:
- Maintain and update the contact list for internal and external stakeholders, including WWF country offices and regional program teams.
- Act as the first point of contact for inquiries, ensuring professional and timely responses to partners and collaborators.
Special Projects and Initiatives:
- Assist in the coordination of special projects and initiatives as assigned by the Directors, such as consultant engagements and internal task forces.
- Provide support to cross-cutting business functions to ensure the smooth operation of the Nairobi Hub and regional offices.
Knowledge Management:
- Maintain a repository of knowledge products, documents, and reports related to conservation and program quality initiatives.
- Ensure proper documentation and dissemination of best practices and learnings from conservation projects.
Monitoring and Reporting:
- Support the Directors in monitoring the progress of key responsibilities and projects, flagging urgent issues and ensuring timely follow-up.
- Prepare and deliver regular progress reports, highlighting key achievements, challenges, and next steps.
Qualifications and Competencies:
- University Degree in Business Administration or a related field (Master’s in Business Administration or experience in conservation is a plus).
- At least five years’ experience in a similar role within an international NGO.
- Proven track record of working with director-level roles in conservation or international development.
- Strong organizational, analytical, and prioritization skills.
- Ability to work independently with initiative and deliver solutions proactively.
- Excellent communication skills (both written and verbal), with proficiency in English; French is an added advantage.
- High level of integrity, professionalism, and the ability to maintain confidentiality.
- Advanced skills in technology and office applications.
Key Relationships:
- Internal: Regular interaction with WWF regional teams, country offices, technical staff, and leadership within WWF International.
- External: Engages with partners, donors, and external representatives as required to fulfill the duties of the role.
Performance Indicators:
- Timely and efficient management of administrative, logistical, and program support tasks.
- Successful organization and facilitation of meetings, workshops, and special projects.
- Quality and accuracy of documents, reports, and communications prepared.
- Effective stakeholder engagement and timely follow-up on tasks and projects.
