1 MISSION OF THE DEPARTMENT

The Governance team maintains the foundation for an informed, engaged, inspired and sound WWF Network. The team provides platforms for effective internal collaboration, facilitates decision-making on agendas of strategic global relevance, serves and defends WWF’s governance structures, and holds core data and knowledge related to WWF’s historical and current operations.

2 MAJOR FUNCTIONS

The EA Governance supports the Sr. Director, Governance & Network Engagement and the broader Governance team in the fulfilment and execution of duties, both to ensure effective management of the team and to liaise effectively with other WWF International divisions. He/She/They operates with considerable independence and performs diversified secretarial and administrative duties using initiative, judgement, and knowledge of the organisation and its policies.

3 MAJOR DUTIES AND RESPONSIBILITIES

  • Provides executive assistance to the Sr. Director, Governance & Network Engagement and the WWF President, including calendar management, travel arrangements, and expenses;
  • Supports the President of the International Board; coordinates his/her agenda; and disseminates correspondence and communications to the Network, Council and external contacts;
  • Schedules meetings and maintains the calendar for all major governance bodies (i.e. International Board, Network Executive Team, Council, Assembly, and their subcommittees and working groups);
  • Provides logistical support for in-person meetings in Gland of the International Board and NET;
  • Coordinates Governance team meetings and events, including logistics and agenda-setting;
  • Serve as the primary liaison with the Finance department and support oversight of the unit budget;
  • Works with the Senior Manager, Governance & Network Engagement to organise and maintain the unit’s documents and virtual presence, including supporting maintenance of Google folders;
  • Coordinates legalisation of documents required for the Registry of Commerce, Apostilles, and authorisations and other statutory requirements;
  • Performs other tasks as assigned by the Sr. Director, Governance & Network Engagement.

4 PROFILE

Required Qualifications.

  • Assistant training from a commercial college or equivalent;
  • Experience as assistant to executive level senior management.

Required Skills and Competencies.

  • Attentive to detail and follow-up, with excellent organisation and prioritisation skills;
  • Ability to take initiative, prioritise, complete work with minimal supervision and meet deadlines;
  • Independent and highly meticulous, with the ability to manage several projects simultaneously;
  • Works to the highest level of integrity and confidentiality;
  • Excellent communications and interpersonal skills;
  • Ability to work in a multicultural environment;
  • Capacity to take initiative as part of a team;
  • Excellent computer skills;
  • Excellent English and French;

5 WORKING RELATIONSHIPS

Internal.

Interacts regularly with WWF-International’s President, Board, Director General, Executive Team and Senior Leadership Team, as well as members of the Network Executive Team, Assembly, and Council. Collaborates with staff at WWF International as well as offices across the WWF global network.

External.

Interacts with services providers and partners, the Registry of Commerce, external counsel, and notaries.
