1 MISSION OF THE DEPARTMENT
- To drive the right culture and working environment in WWF Network by ensuring embedding of our agreed network core values and standards;
- To develop the right P&C standards, policies, procedures, systems and platforms in-order to attract, develop and retain the right people for the organization;
- To create the optimal working environment in which the staff are able to perform at the highest level and hence are able to maximize their contribution towards the conservation goals.
2 MAJOR FUNCTIONS
- The Foundational Services Director is accountable for all aspects of HR operations, administration, HRIS, Data Analytics, C&B, and HSS;
- The role is responsible for providing business solutions, support and comprehensive HR service to managers and employees in all related practices across WWF International Secretariat and specific areas around C&B, HSS, policies alignment for all its Country Offices as well.
3 MAJOR DUTIES AND RESPONSIBILITIES
HR Operations
Working closely with the Head of Employee Services, and Regional P&Cs as and when required
- Act as custodian for all HR policies and ensure regular updates and reviews are undertaken in order to remain relevant.
- Ensure legal and operational employee relations issues are handled compliantly and swiftly to mitigate organisational risk.
- Accountable for payroll management and the accurate execution of the monthly payroll within the Secretariat for all Secretariat locations, in a timely, efficient manner while ensuring up to date and proper documentation to any changes in the employees’ status in line with GDPR compliance.
- Accountable for all operational/administrative processes for the Secretariat relating to the employee life cycle, including administrative on-boarding/exit of staff, insurances, benefits, contracting, relocations etc
- Regular review of operational processes for the Secretariat to ensure efficiencies and timely execution.
- Negotiation with external partners and vendors and analysis of operational modalities that can facilitate ways of working.
- Maintain hosting relationships with host National Offices and Hub locations for the Secretariat, analyse location constraints/potential and make recommendations to management.
- Ensure promotion of well-being initiatives and benefits awareness and mobilise Employee Resource Groups (ERG) for the Secretariat.
Compensation & Benefits
Working closely with the Head of Compensation & Benefits,
- Oversee communications & engagement to build an understanding of the compensation approach, policies and benefits for key stakeholders and managers.
- Implement effectively C&B programmes/practices consistent with WWF International’s positioning in the relevant market and in compliance with countries legislative requirements.
- In partnership with the COO and Executive Director, P&C, make recommendations on C&B reviews for all staff to the Finance & Investment Committee (FIC).
- Conduct the regular salary benchmarking exercise in collaboration with external partners (Birches, Mercer etc) to compare WWF International practices against market practices and ensure that WWF remuneration remains fair within the market as per the C&B philosophy.
- Conduct the annual salary review cycle and ensure timely implementation working closely with other P&C partners in the Secretariat and Country Offices.
- Accountable for making fair and equitable recommendations on the C&B approach across the organisation.
- Responsible for implementation and communication of any changes to the C&B policies or procedures.
- Monitor the monthly HR KPIs related to area of work, run the required analysis and provide corrective actions.
- Implement any projects related to C&B as required.
- Facilitate the job evaluation process for Country roles and provide recommendations on grades, salaries in line with the Global guidelines and job evaluation methodology approach
- Educate managers and build P&C teams’ capacity across the organisation, ensuring excellent understanding of job evaluation processes.
- Accountable for accuracy of Mercer Win database.
Health, Safety & Security
Working closely with the HSS expert,
- Accountable for developing clear framework, policies, guidelines and training material related to Health Safety & Security for WWF International;
- Build awareness and capability within the Secretariat and all our Country Offices in seeing HSS as an integral part of our duty of care towards our staff.
- Work closely with key HSS external partners in ensuring we have best practices, tools and platforms.
- Support and advise in any HSS related crisis within the organization and ensure lessons learnt to build a proactive risk management approach.
HRIS Management
Working closely with the HRIS team,
- Lead all new and existing systems implementation and work closely with the Senior Director Global Technology & Digital Solutions any suggestions for future technological solutions for P&C function.
- Responsible for promoting a culture of the People Analytics domain to enable data-driven decisions.
- Accountable for the timely and regular update of HRIS to ensure that all organisational changes and employee records are accurate and up to date.
- Oversee the production of HR monthly reports / detailed analysis to Management with recommended actions.
- Provide analysis, tools and management information to the Executive Director, People & Culture, Director Talent Management & Business Partnership and Director, Organisational Culture and Engagement to support key work streams/projects and analyse trends.
Others
- Build a strong team of professionals to deliver high quality and timely results.
- Coach and provide guidance to direct reports and any other team members.
- Participates actively in the Global P&C community.
- Performs ad hoc tasks as assigned by the Executive Director, People & Culture
4 PROFILE
Required Qualifications.
- University Degree preferably with a focus on human resources, Business administration, Economics/Statistics or social sciences;
- At least 15 years progressive experience in HR, C&B, and systems operations ideally gained with a complex international environment.
- Professional P&C certification preferred.
Required Skills and Competencies.
- Experience in managing all foundational services like HR operations, C&B, HRIS, etc.
- Strong client service and delivery focus.
- Leadership abilities and able to manage diverse multi-functional teams.
- Diplomacy and ability to deal with a variety of situations and confidential issues.
- Excellent organizational, administrative, multitasking and prioritization skills.
- Highly numerate with strong analytical skills and the ability to assess data and trends.
- Excellent time management skills with a proven ability to meet deadlines.
- Strong analytical and problem-solving skills.
- Good understanding of technological advancements in HR and experience using various tools and platforms.
- Growth mind-set and open to new ideas and ways of working.
- Ability to build relationships, communicate directly and challenge, and comfortable with the same from others.
- Demonstrate effective communication skills, both written and oral and team oriented
- Strong command of English and other languages is an asset.
- Interest in conservation and WWF's work.

5 WORKING RELATIONSHIPS
Internal.
Works closely with staff at all levels within the Secretariat, the global and regional P&C team, Legal, Compliance, ICT and Finance teams as and when required.
External.
Interacts with external partners, consultants, suppliers of good and services and visitors, as required, in fulfilment of duties.
