About the Position

Under the supervision of the Country Representative the Project Officer is responsible for serving as a distributing information within the project, documenting review meetings, clarifying requests, managing visitor logistics, and administering contractor contracts to support efficient engagement and collaboration. The role ensures the delivery of quality services by maintaining donor funding data, arranging travel logistics, updating project records, and compiling data for reporting. The Project Officer supports effective project execution through streamlined communication, accurate record management, and reliable logistical support.

Key Responsibilities

Main Purpose of Job:

  • Provide information to and maintain project management tracking system in coordination with other teams to ensure timely implementation within budgets.
  • Execute operational administrative tasks related to procurement, logistics, contracts and payments, including handling requests for IT, to enable efficient completion of project objectives.
  • Gather, verify and maintain project databases and filing systems, including budget to ensure documents are complete and easily available, and expenditures align with available budgets and procedures.
  • Provide logistical and administration support in the organization of workshops, project meetings and training to ensure smooth delivery of events, including the arrangement of travel.
  • Support day-to-day administrative operations for RedSeaFish project and Abbassa Center

Main engagement, collaboration and communication responsibilities:

  • Serve as help desk contact point for projects for routine queries and responses.
  • Distribute received information within the project as directed by supervisor to support efficient flow of internal communication.
  • Record and track project review meetings within the project team to document discussions and decisions for successful project implementation.
  • Communicate and clarify requests and service details with other teams, consultants and partners, to ensure alignment and a seamless exchange of information and execution of tasks.
  • Welcome and guide visitors, managing their logistics and schedules during their stay to ensure effective use of their time.
  • Administer contractor contracts by collaborating with other teams to create contracts, review deliverables, and process payments, ensuring adherence to policies and deadlines.

Main responsibilities in the delivery of timely and quality services:

  • Arrange logistical and travel plans for team members, visitors, and workshop participants, including handling visas, hotel bookings, and claims, to ensure efficient and timely travel according to policies.
  • Maintain and regularly update shared project folders, databases, and filing systems, to ensure reliable institutional and project record management.
  • Collate project data for periodic reporting as required.

  • Bachelor’s degree in Business Administration, Project Management, Public Administration, Finance, Accounting, Logistics, Supply Chain Management, or a related field.

Desirable Skills/Experience

  • Experience implementing routine administration and coordination processes.
  • Experience maintaining administrative databases.
  • Experience providing administrative and logistical support to meetings and facilitating information exchange.
  • Experience in project administration is an advantage.
  • Hands-on experience handling procurement requests is an advantage.

  • Project / Program Management: Collaborates with team members to resolve project-related issues and tracks project milestones and budgets, identifying potential delays.

This is a Nationally Recruited Staff (NRS) position and WorldFish offers a competitive remuneration package including comprehensive benefits (but not limited to) insurance coverage for staff and eligible dependents, employer provident fund contribution, paid leave, and others. The duration of the contract will initially be for a three-year period with possibility for extension, depending on funding and performance
