About the role:

UpEnergy is at a time of exciting growth, expanding both in terms of product and geographic portfolio. We are seeking an Operations Analyst who is passionate about our mission and dedicated to advancing clean cooking solutions in Ghana. In this role, the Analyst will be instrumental in driving operational excellence by:

Reporting on daily and weekly sales agent performance in alignment with company and departmental KPIs, reconciling self-reported sales with data in the CRM system as well as coordinating with the Finance team to reconcile agent banking and ensure all sales revenue is properly accounted for. The Ideal candidate will be one that can also monitor and track fuel usage by sales agents, prepare weekly budgets to support agent facilitation and organize logistics and resources for team meetings, field visits, and training sessions.

This role will report to the Operations Manager. The role is a full-time position and based out of UpEnergy Office at Accra, Ghana.

Key Responsibilities:

Data & analytics

  • Performance reporting: Report on daily and weekly distribution agents’ performance against departmental and company KPIs and communicate the results to various stakeholders within and outside the distribution team.
  • Perform basic maintenance and updating of performance tracking tools such as Dashboards, Reporting forms and Reports.
  • Reconcile daily sales with distribution agents to match self-reported sales numbers with all sales recorded in Carbon HQ and Survey CTO, ensuring accuracy and transparency.
  • Monitor and maintain the distribution fleet management dashboard to track movement of Agents and monitor fuel usage by agents' trucks.
  • Highlight trends, bottlenecks, and areas for improvement in processes.

Distribution operations:

  • Breaking down high-level distribution targets for all products, to individual sales agent targets
  • Collaborate with the finance department to reconcile agent banking, ensuring that cash from all sales is accurately banked.
  • Resolve all pending OTP verification issues daily to ensure that we achieve 100% OTP verification month on month.
  • Follow up on assigned action items from cross-functional team meetings.

Budget Preparation:

  • Prepare weekly budgets for sales agent facilitation, ensuring appropriate allocation and use of resources.
  • Coordinate with the data team to resolve all data issues for distributions within 72 hours after escalation.
  • Ensure distribution agents have enough stock for distribution.

Does this sound like you?

  • 3 to 5 years of experience preferably working with financial, Operations and/ or operational data.
  • Bachelor’s degree in business administration, Statistics, Operations Management, Supply Chain Management, or a related field.
  • Strong analytical skills to monitor and interpret sales performance data and sales reconciliation.
  • Proficiency in spreadsheet software (MS Excel and Google sheets)
  • Proficiency in using CRM systems is an added advantage
  • Attention to Detail: High level of accuracy and attention to detail in reconciling sales data and financial records.
  • Strong organizational skills to manage multiple tasks, deadlines, and resources effectively.
  • Willingness to continuously learn and develop new skills relevant to the role and the industry.
  • Ability to work collaboratively with cross-functional teams, including distribution, finance, product development and data.
