In Uganda, we are transforming landscapes and livelihoods across the Lake Victoria Watershed in the Eastern Region. With over 60 staff working on the ground, we collaborate with more than 7,000 farmers to implement the Forest Garden Approach. This initiative, in partnership with Catona Climate, is pending a Carbon Market verification, allowing farmers to benefit from carbon financing while restoring their land.

THE ROLE

The Office Assistant supports the smooth functioning of the organisation by providing administrative, logistical, and house keeping services. This role ensures that the office environment is clean, safe, organised and conducive for staff and visitors. The office Assistant also assists with basic clerical tasks, procurement support, filing and operational errands. The positions will be based either in Manafwa or Bugiri offices and report to the Administrative Assistant.

RESPONSIBILITIES

Office Cleaning & Housekeeping

  • Ensure daily cleaning of all office spaces, including offices, meeting rooms, reception, kitchen, washrooms, and common areas.
  • Maintain cleanliness of office furniture, equipment, and surfaces.
  • Ensure proper waste management including emptying bins, sorting waste, and maintaining cleanliness around the premises.
  • Replenish cleaning supplies, toiletries, drinking water, and other consumables.
  • Maintain a high standard of hygiene in staff kitchen and ensure dishes are cleaned and stored properly.

Administrative Support

  • Support the front desk by welcoming visitors and directing them appropriately.
  • Assist with photocopying, scanning, binding, and filing documents.
  • Support distribution and collection of internal documents, letters, memos, and parcels.
  • Help set up meeting rooms, including refreshments, stationery, and equipment preparation.
  • Maintain inventory of office supplies and notify the supervisor of items that need replenishment.
  • Assist in receiving deliveries, verifying items, and storing them appropriately.
  • Support procurement processes by collecting quotations, delivering documents, or following up with vendors as requested.
  • Assist in organizing office supplies, program materials, and activity kits.
  • Run small operational errands to banks, vendors, or partner offices when required.

Safety, Security & Asset Care

  • Ensure office spaces are kept orderly and clutter-free to reduce safety risks.
  • Report any damaged equipment, utilities, or maintenance needs immediately.
  • Support safeguarding office assets by ensuring proper handling and storage.

REQUIREMENTS

  • Uganda Advanced Certificate of Education (A’ Level) or equivalent qualification.
  • Minimum of four (4) years’ experience in office support, housekeeping, or a similar role.
  • Prior experience in cleaning services, office administration support, or hospitality is preferred.
  • Basic computer proficiency, including Microsoft Word and Excel, is an added advantage.
