THE ROLE


The Global HR & Operations Senior Coordinator strives to make TREES the best home for leaders wanting to make an impact for the farmers we serve. Based in the U.S., this role provides equitable, inclusive, and people-centered HR support our team of ~350 across Kenya, Uganda, Tanzania, Senegal, Mali, and the U.S.—with a special focus on our ~20-person central office team.

Reporting to the VP of Global HR, the Senior Coordinator supports day-to-day operations and leads special projects across core HR and operational functions including HRIS management, onboarding/offboarding, benefits administration, employee engagement, and knowledge management.

In addition, this role supports broader organizational operations such as IT and tech systems, user-facing IT support, vendor coordination, and preparing HR materials and logistics for board meetings.

This person ensures that our global HR tools and processes run smoothly, our internal systems are well-organized, and our team has the administrative foundation needed to thrive. The ideal candidate brings strong organization, digital fluency, attention to detail, and the ability to work independently across multiple systems and stakeholders.

RESPONSIBILITIES

Global HR Operations Support

  • Serve as the lead administrator for our HRIS (Rippling), including troubleshooting, workflow support, and system improvements
  • Lead HR operations system improvement projects, making day-to-day HR work more efficient, seamless, and user-friendly
  • Maintain Global HR knowledge management systems, SOP documentation, and team tools
  • Lead onboarding and offboarding improvements and workflow management, ensuring teammates have the tools and support they need for strong starts and smooth departures
  • Support and lead special projects geared to improve the employee experience at TREES
  • Assist with HR data cleaning, analytics, and reporting
  • Assist the VP of Global HR and Director of Global HR Operations with administrative tasks and cross-team coordination for performance review, employee engagement and learning and development

Central Office HR Support

  • Manage U.S. benefits administration (renewals, enrollments, audits) for health, dental and vision insurance, 403(b), life insurance, FMLA, etc.
  • Support with U.S. HR compliance
  • Serve as the primary HR contact of central office (15 US based and 3 Nairobi based teammates
  • Procuring and preparing laptops for central office teammates

Org-Wide Knowledge Management

  • Maintain and improve the staff resource center
  • Maintain shared drives, access permissions, and document organization
  • Create and maintain internal directories or guides on “where to find what”

Office & Vendor Logistics

  • Manage the day-to-day interface with WeWork (TREES' D.C. office location), including access, supplies, and workspace coordination
  • Coordinate incoming and outgoing mail and package receiving and deliver
  • Coordinate basic vendor relationships related to HR tools, office supplies and subscriptions
  • Oversee HR and operations software (i.e. international travel management, translation software, and other HR and operational software)

IT and Technology Support

  • Administer ongoing account access and maintenance for email and software passwords, software permissions, listservs, new user accounts across software like Microsoft, Rippling, and other online tools
  • Support IT liaisons in each of our countries of operation
  • Coordinate Cybersecurity awareness trainings and campaigns
  • Serve as the first point of contact for basic IT troubleshooting and coordination, escalating to our IT service provider (Codestone) when needed
  • Lead staff training on basic technology access, fluency and troubleshooting

Internal Communication & Events

  • Coordinate logistics for quarterly all-staff meetings, including scheduling, conferencing, presentation decks, and follow-up
  • Support the planning and execution of internal HR-led events (e.g., staff engagement sessions, virtual retreats)

Board & Executive Communication

  • In collaboration with the CEO, coordinate with quarterly board meeting logistics, including scheduling, pre-read preparation, meeting note taking and minutes, follow-up and governance administrative support.
  • Proof and organize materials for external stakeholders and funders when needed
