Reporting directly to the Managing Director of The Nature Conservancy (TNC) in India, the Senior Executive Assistant will serve as a pivotal strategic partner, providing high-level administrative and operational support in a fast-paced, international environment. The ideal candidate is a dynamic, proactive self-starter with a proven track record as a Senior Executive Assistant in a global or international organisation. Exceptional organisational skills, initiative, and the ability to anticipate and address needs independently are essential for success in this role.

The successful candidate will be an expert in Microsoft Windows and Office applications, alongside proficiency with common AI platforms and digital collaboration tools. Outstanding written and verbal communication, mature judgment, and discretion when handling sensitive and complex matters are prerequisites. The Senior Executive Assistant will bring energy, adaptability, and a solutions-oriented mindset to ensure clarity, structure, and seamless operations for the Managing Director and the broader team.

Key Responsibilities

· Serve as a proactive, trusted advisor and strategic partner to the Managing Director, anticipating needs, independently managing priorities, and ensuring smooth day-to-day operations.

· Expertly manage complex calendars, coordinating domestic and international travel arrangements, stakeholder engagements, and high-level meeting logistics with meticulous attention to detail.

· Organise and facilitate regional leadership and management meetings, ensuring effective coordination, timely follow-up, and optimal functioning.

· Draft, edit, and refine professional communications, reports, and presentations with clarity and precision, ensuring consistency and excellence in all written materials.

· Leverage advanced digital tools, including Microsoft Office suite and leading AI platforms, to streamline workflows, automate routine tasks, and drive innovation in administrative processes.

· Independently manage expense processing, financial tracking, and delegated approvals (e.g., travel requests, timesheets, leave applications) for the Managing Director and direct reports.

· Prepare for and coordinate performance partnership meetings, ensuring the Managing Director is equipped with the necessary information to support and mentor direct reports.

· Facilitate effective communication and collaboration between the Managing Director and internal teams across the Asia Pacific region, as well as external partners and stakeholders.

· Oversee and monitor the progress of projects, ensuring deliverables are met to the highest standards of quality and timeliness.

· Maintain well-organised digital and physical records, proactively identifying opportunities to enhance efficiency and streamline administrative procedures.

· Champion the adoption of new technologies and digital solutions, driving continuous improvement and operational excellence within the organisation.

· Represent the Managing Director with professionalism in all internal and external interactions, building and nurturing strong relationships with key stakeholders and partners.

We’re Looking for You:

Minimum Qualifications

  • Bachelor’s degree and a minimum of 5 years' relevant experience supporting senior executives, or an equivalent combination of education and experience.

  • Proven experience of working on similar profile, maturity, discretion, and high ethical standards in fast-moving, high-impact environments.

  • Demonstrated expertise with productivity suites (e.g. Microsoft 365), collaboration tools (e.g. Teams), and artificial intelligence platforms (e.g., CoPilot).

  • Superior writing and editing skills, with a portfolio of professional communications preferred.

  • Strong analytical skills with experience in reporting and interpreting data.

  • Exceptional organizational ability and attention to detail, balancing multiple priorities and projects with energy and professionalism.

  • Experience navigating cross-cultural or international work environments.

  • Fluency in English and Hindi

  • Travel and work flexible hours as required by the Managing Director’s schedule.

Desired Qualifications

  • Previous experience as senior executive assistant in similar organizations is an advantage

  • Fluency in one additional Indian language and experience working in diverse, multicultural teams.

  • Experience in change management and process improvement, particularly using digital tools and AI, where needed

  • Eagerness to learn and grow, demonstrating a strong interest in conservation.

  • Capacity to drive innovation and adoption of emerging technologies across teams.

  • Demonstrated diplomacy, tact, and interpersonal skills in building and managing relationships at all organizational levels
