JOB TITLE: Operations Portfolio Coordinator

REPORTS TO: Lead Operations Portfolio Coordinator

LOCATION: Johannesburg/Cape Town

QUALIFICATIONS:

  • Minimum Grade 12
  • Diploma or Degree in Business Administration, Operations Management, Renewable Energy or related fields
  • Relevant industry experience in lieu of qualification

PREFERRED SKILLS:

  • Proven track record of analytical aptitude.

  • Self-starter / self-motivated.
  • High level of computer literacy.
  • Excellent communication skills.
  • Milestone and deadline driven.
  • High Level of Accountability.

EXPERIENCE REQUIRED:

  • Minimum 1-3 years in a Solar PV environment or project management environment.
  • Min 3 years in facilities management environment or utilities environment or client facing service level agreement execution environment.
  • Experience within Operations and Maintenance in the Renewable Energy sector would be highly advantageous.
  • Familiarity with monitoring systems and data analysis tools.
  • Effective communication skills for collaboration with internal teams and external service providers.
  • Must be fully proficient in English (verbal and written communication)
  • Must be fully computer literate (MS Office Suite and Google App Suite)

DUTIES AND RESPONSIBILITIES:

Technical Operations and Maintenance Management:

  • Manage Portfolio of sites assigned by Lead O&M Portfolio Manager.
  • Daily monitoring of Meteocontrol VCOM and Copper – ensuring plants are performing optimally (Monitoring to be performed at string level).
  • Review Offline Meter list and ensure minimal downtime in accordance to the O&M response matrix.
  • Review Inverter offlines on VCOM list and ensure minimal downtime in accordance to the O&M response matrix.
  • Review of plant yield mechanisms (PR or Yield Guarantee percentage) and ensure plant yields meet stipulated monthly guarantees.
  • Alert O&M team for equipment misproductions, cleaning of plants, periodic inspections and oversee repair/replacement process.

  • Track and Quantify BOO plant production and production interruption events (loadshedding, low irradiance, module theft, module upliftment, inverter misproduction, plant offlines and so on).
  • Assist Lead O&M PM with Red Flag Analysis.
  • Oversee and Track O&M and Metering Activities till Completion of Activity.
  • Coordinate Subcontractors for cleans and Technical Works.
  • Coordinate Access for O&M teams to sites.
  • Tracking of Equipment Warranties and notifying in advance when warranties are close to lapsing.
  • Alert Account manager / Client as to significant System events by next business day.
  • Perform SPV logs for plants under your portfolio.
  • Review performance post cleaning of plant.
  • If plant is underperforming – alert cleaning team to prioritise scheduling.
  • Daily and weekly liaison and coordination with the O&M manager to manage reworks and quoted repairs.
  • Monthly Solar report and billing check for swift issue. This includes recon on any outstanding invoicing and or billing.

Document Control:

  • Keeping the site-specific maintenance records up to date by logging the specific dates that plants were serviced.
  • Review of post construction handover documentation and ensuring that the electronic copies are captured into the relevant O&M folders on SharePoint.
  • Monitor plant in accordance with the O&M contract.

Reporting and Analysis:

  • Plant SPV reports with detailed logs – sent out 7th of each month.
  • Assist Lead O&M PM with Performance of Portfolio Reports done bi-weekly (technical).
  • Performance Reports of plants in your Portfolio Monthly.
  • Assist Lead O&M PM with Technical Plant Performance Reports
