Background about SEforALL

Sustainable Energy for All (SEforALL) is an international organization working with leaders in government, the private sector and civil society to drive further, faster action toward achievement of Sustainable Development Goal 7 (SDG7), which calls for universal access to sustainable energy by 2030, and the Paris Agreement, which calls for reducing greenhouse gas emissions to limit climate warming to well below 2° Celsius (and striving for 1.5° Celsius).

Achieving these goals will require a radical rethink of the way we produce, distribute and consume energy. SEforALL is at the heart of this foundational shift to ensure no one is left behind. Drawing on data and evidence, we identify a critical path to success in achieving SDG7.

The 8th UN Secretary-General Ban Ki-moon launched the Sustainable Energy for All initiative in 2011. Now an independent organization, we maintain close links with the UN, including through a relationship agreement, partnerships with UN agencies and with SEforALL's CEO acting as the UN Secretary-General's Special Representative (SRSG) for Sustainable Energy for All and Co-Chair of UN-Energy. These roles include advising the UN Secretary General and his staff on issues relating to sustainable energy and the implementation of SDG7 and supporting the coordination of sustainable energy issues in the United Nations system.

The ambitions of SDG7 are extraordinary. Aiming to achieve them in the context of the Paris Agreement on climate change involves transformation at a scale never undertaken before. Swift action must be taken by leaders in governments, private sector companies, institutions, financiers, development banks, unions, communities, entrepreneurs and civil society. As we enter the final decade to achieve SDG7, SEforALL has strategically chosen to strengthen global agenda-setting while expanding its activities to an engagement model that prioritizes data-driven decision-making, partnerships with high-impact countries and implementation on the ground. SEforALL's current three-year business plan outlines “results offers” that scope out our planned interventions and demonstrate to our funding partners the impact of their support.

Context and Objective of Assignment

The main objective of Executive Office is to provide support to the CEO/SRSG, the leadership team and the Administrative Board to ensure efficient and effective leadership, implementation of organization's strategic direction and collaboration across the organization and teams.

The Executive Office Associate is expected to be a dynamic and highly motivated professional who takes full end-to-end accountability for providing administrative support to the CEO/SRSG. The Associate will interact with a wide range of people globally, across government, private sector, NGO and international organizations, at the working level as well as at the highest leadership level. The role requires handling confidential information on a regular basis and with great discretion. S/he has developed a sense for diplomacy and tact and uses both regularly. With supervision and guidance from the Executive Office Manager, the Associate will undertake routine and non-routine actions on administrative processes and steps, in alignment with the needs of the CEO/SRSG.

Purpose/Objective of the Role

The main objectives of the role include:

  • Provide administrative support on a daily basis to the CEO/SRSG.
  • Ensure all correspondence to and from the CEO/SRSG and executive office is handled quickly, efficiently, accurately and diplomatically.
  • Ensure participation by the CEO/SRSG in internal and external meetings and events is at all times well prepared, including travel and other arrangements.

Main Duties and Tasks of the Role

The main duties and tasks of the role include, but are not limited to:

  • Assist in the management of the CEO/SRSG correspondence and provide other support to the CEO/SRSG in responding to requests from various stakeholders related to meetings and engagements.
  • Act as office focal point to support the preparation of all briefing material for the CEO/SRSG, providing templates, guidance and deadlines to team members providing input and material, with a focus on ensuring quality, relevance and timeliness.
  • Collaborate with the CEO/SRSG Special Assistant to capture CEO/SRSG decisions and commitments and make those available to relevant team members to ensure follow-up.
  • Support in the logistics and preparations of the CEO/SRSG's travel and ensure that all trips are fully planned and optimized in all respects, including making travel arrangements, setting up meetings and finalizing and delivering all briefing materials.
  • Provides support to the Programme Manager, Chief of Staff, Special Assistant, and others as required.
    Input and update information in a timely manner in Salesforce on the CEO/SRSG's planned and completed meetings and missions, including information from briefing and meeting notes.
  • Act as a point of contact for operational matters, feedback and support including support for onboarding, IT services, procurement, as well as overall office management.
  • Provide support to the Chief of Staff and Programme Manager regarding preparation of internal committee meetings, soliciting / compiling agenda items for meetings, gathering and sending out pre-read material, taking minutes and capturing and tracking outcomes and action items.
  • Facilitate knowledge building and knowledge sharing in own work area to bring about awareness and understanding, as well as utilise SEforALL systems and process to share the knowledge. e.g. Salesforce.
  • Tag team with Senior Associate and Senior Assistant
  • Other tasks and duties as may be required.

Specific Competencies for the Role

  • Minimum 3 years of experience in supporting an executive function and an executive office, or coordination function, operating in and contributing to a fast-paced environment that requires high flexibility, discretion and a commitment to quality and timely results. Experience in international development highly desired.
  • Completed relevant university degree in a related field such as Business Administration, International Relations, Energy Studies, etc.
  • Good understanding of SEforALL and its mandate and goals.
  • Strong diplomatic, verbal and written communication skills and experience with communicating with a diverse set of stakeholders.
  • Ability and desire to operate in a fast-paced environment that requires high flexibility and responsiveness.
    Strong ability to multi-task and keep track of multiple streams of work and activities.
  • Ability to think and act strategically for planning, rapidly analysing and integrating diverse information from varied sources into conclusions and recommendations.
  • Specific experience in managing executive communications, in terms of screening incoming communications and proposing outgoing communications, in drafting and reviewing correspondence, proof-reading and editing text, creating and updating high volumes of time-sensitive material for senior officials in organizations or agencies engaging at the international level.
  • Experience in operating across multiple time zones and with distributed teams.
  • Experience in working with the UN and high-level government officials highly advantageous.

Salary information: SEforALL has adopted its own salary scales corresponding to the SEforALL grading system. The minimum yearly salary for this position is USD 48,850. Salaries paid to staff based in the USA are tax-free for G4 VISA holders. SEforALL will facilitate G4 VISA application for the successful candidate should they not be American Citizens or Green Card holders. The actual salary offer will be determined within the scale depending on the successful candidate’s qualification and experience, and applying the principle of internal equity. In addition to the base salary, SEforALL staff receive a benefits package that includes contribution to pension, contribution to health insurance & homeworking allowance.
