The Office Manager will manage all administrative activities in the organization. In this role, the individual will be responsible for the day-to-day running of the office, welfare services, facility maintenance, and some other task listed.

What you would be expected to do

  • Receiving and attending to office phone calls coming through the reception
  • Accountable for the safe day-to-day running of the office, welfare services, facility maintenance, lunch, etc. whilst ensuring employees present in the office are safety compliant Coordinate office janitors and technicians and ensured the pantry/kitchen, restroom, and office space are neatly arranged and safe for employees.
  • Oversee office inventory management like HR Stationery and other kitchen provisions.
  • Ensuring all new staff are onboarded and get their HR Kit and work tools on time, IDs, and business cards
  • Ensure new staff and additional members get their Medical cards on time and are added to the cover as soon as the need arises
  • Timely submission of HR invoices and follow-up on payments
  • Conducting recruitment with respective hiring managers
  • Maintain a schedule and coordinate HR calendar and company engagement activities and participates in other HR initiatives aimed towards delivering the HR agenda
  • Staff records management, ensuring all staff data is up to date or updated whenever there are changes.
  • Keeping a clear flow of information from management to all staff and from staff to managers.
  • Work with all departments to ensure high efficiency and collaboration among all departments.
  • Management of flight agency vendors and other vendors to optimize i.e., get the best value for the cost.
  • Timely communication (at least 72hrs before travel) of flight itinerary to staff after completing due approvals.
  • Ensure timely reservations of hotels for staff (new joiners and existing staff). Making sure the hotel itinerary is sent to the staff concerned at least 24hrs before arrival.
  • Scribe for weekly meeting minutes, and skillshare sessions (or any other assigned meetings) promptly, and track attendance of attendees.
  • Contact person for receiving office mail correspondences and attending to all emails in a courteous and timely manner.
  • Ensure effective and timely health care administration (registration/enrolment, reimbursement, complaints) for both current and new employees from end-to-end.
  • Ensuring adequate supplies of office supplies.
  • Other duties as assigned.

You might be a strong candidate if you:

  • Hold a Diploma/Bachelor's from a reputable institution, preferably a background in HR, or Business Administration related courses.
  • Minimum of 2 years experience in an administrative role.
  • Advanced proficiency in all google office suite applications.
  • Exceptional ability to manage payments, budgets, expenditures, and office operations.
  • Good leadership qualities
  • Advanced ability to plan, schedule, and execute office-related events.
  • In-depth knowledge of administrative recordkeeping practices.
  • Experience in handling confidential information.
  • Excellent interpersonal skills.
