Logistics and Tooling Coordinator

A Snapshot of Your Day

Provide effective spare parts, inventory and tooling coordination, ensuring material and compliant tooling availability, accurate system and stock records, timely escalation, safe warehouse standards and clear governance. The role balances logistics and tooling responsibilities across an equal allocation of working time.

How You'll Make an Impact

Warehouse, Spare Parts & Logistics

• Own the ordering and tracking of operational spare parts within agreed controls, including validation of requirements, order coordination, expediting critical shortages, status of communication, and closure of exceptions.
• Coordinate material master creation and amendment requests, checking completeness, tracking progress, resolving rejected requests
• Coordinate accurate goods receipt by matching deliveries to purchase orders, arranging physical quantity and condition checks with local site teams, posting receipts centrally and recording discrepancies.
• Manage returns for repair, refurbishment and warranty, including return documentation, transport coordination, vendor tracking, stakeholder updates and reconciliation of credits or repaired items.
• Plan and support-controlled physical stock takes, including count preparation, movement controls, count coordination, recounts and variance documentation.
• Assess the operational impact of material, system and logistics issues, identify accountable owners, escalate clear facts and required decisions, and track recovery actions to closure.
• Maintain logistics performance visibility through reporting on open orders, overdue receipts, returns, inventory accuracy, ageing, and escalations.
• Maintain safe and organized warehouse standards in the tooling warehouse and applying 5S principles

Tooling and Equipment

• Maintain 26 calibrated tool kits for the service fleet and ensure complete; compliant kits are available to technicians.
• Monitor maintenance and calibration due dates, plan tool changeouts and prepare replacement kits before technician handover.
• Coordinate physical tool swaps with technicians, maintaining accurate issues, returns, Field ID and certification records.
• Coordinate dispatch and return calibration items with Hull Calibration and logistics providers.
• Procure replacement tooling for failed, damaged or obsolete equipment and maintain sufficient calibrated spare-tool stock.
• Consult Regional Managers on annual hydraulic-tooling demand, organize complete kits, and maintain the six-month calibration and swap schedule.
• Maintain service technician hand-tool kits, replace broken, damaged or lost items, use suitable existing stock before purchasing, source approved specialist tools and assemble new standard kits.
• Coordinate MCR tooling by compiling task-specific tooling lists, ordering and coordinating supply with TLC Esbjerg, checking receipt and return condition, and arranging return documents and shipping.
• Maintain PFPE and lifting-equipment stock, test schedules, certificates, quarantine records and replacement control in line with Siemens Energy policy.
• Coordinate statutory or policy-required testing with approved suppliers and ensure failed, damaged or expired equipment is quarantined and replaced promptly.

Systems, Records and Governance

• Maintain accurate records in SAP, Field ID, stock registers, calibration certificates, handover records, shipping documents, and action trackers.
• Ensure transactions, certificates and supporting records are complete, current, and audit ready.
• Support accurate KPI and governance reporting using Excel or Power BI and maintain clear ownership of follow-up actions.
• Work in line with applicable inventory, procurement, HSE, Quality and internal-control requirements.

What You Bring

• Working knowledge of spare parts ordering, goods receipt, returns, inventory and stock take controls.
• Ability to maintain accurate SAP materials, purchasing, receipts, and inventory transactions.
• Understanding material master requests, coding requirements, and audit-trail expectations.
• Ability to coordinate calibration schedules, tooling swaps, equipment records, and certificates.
• Good Excel capability; Power BI reporting capability is beneficial.
• Strong organisation, prioritization, stakeholder coordination, and follow-through.
• Ability to assess operational impact, escalate clearly and track actions to closure.
• Understanding safe warehouse practices, 5S, manual handling and lifting equipment requirements.
• Basic awareness of returns, warranty documentation and dangerous-goods considerations where applicable.

Measures of Success

• Operational parts orders are accurate, monitored, and escalated where shortages are critical.
• Goods receipts and inventory transactions are completed accurately, with discrepancies documented and resolved.
• Returns remain traceable from collection through repair, credit, or replacement.
• Stock takes are controlled, evidence is retained, variances are investigated, and approved adjustments are completed.
• Warehouse safety, housekeeping, bin control, and 5S standards are maintained.
• Calibrated kits and hydraulic tooling remain available within valid calibration dates, with no overdue items.
• Tooling issues, swaps, handovers, certificates, and Field ID records are accurately controlled.
• MCR tooling is available by the required mobilization date and returned with complete traceability.
• PFPE and lifting equipment remain within test date, with failed or expired items quarantined promptly.
• Governance reports and actions are accurate, timely, and audit ready.
