A Snapshot of Your Day

As an Administrative Specialist supporting the Operations & Maintenance (O&M) team, you will play a key role in keeping daily operations running smoothly. From managing payroll processes and employee records to monitoring budgets and coordinating team events, you'll provide critical administrative and operational support across the organization. You'll also partner with HR and support teams to resolve timekeeping issues while assisting the Vice President of Operations with travel, calendar management, and special projects. This role is ideal for a highly organized professional who thrives in a fast-paced environment and can effectively manage multiple priorities.

How You’ll Make an Impact

  • Prepare and process O&M site payroll files while ensuring accuracy, timeliness, and compliance with company policies and procedures. Update employee records and coordinate with programming and payroll teams for payroll file programming updates.
  • Monitor and track cost center budgets, assist with expense reporting, and provide budget-related insights and administrative support to Operations leadership.
  • Coordinate the planning, logistics, and execution of team meetings, workshops, training sessions, and employee engagement events.
  • Provide administrative support for local office operations and O&M field sites, including document management, communication coordination, supply management, and general office administration.
  • Serve as a primary support resource for the Vice President of Operations by managing calendars, coordinating travel arrangements, preparing meeting materials, handling correspondence, and supporting special projects and business initiatives.
  • Collaborate with cross-functional teams to support organizational objectives and ensure smooth day-to-day operations across the O&M organization.

What You Bring

  • Associate's degree in Business Administration, Project Management, Human Resources, or a related field preferred or equivalent experience.
  • 2+ years of experience in administrative support, project coordination, working with payroll administration/timekeeping systems, operations support, or a related role.
  • Strong proficiency in Microsoft Office Suite, including Excel, Word, PowerPoint, Outlook, and Teams.
  • Exceptional organizational skills with the ability to prioritize competing demands and meet deadlines.
  • Excellent written and verbal communication skills with strong attention to detail and commitment to accuracy. Ability to handle confidential information with professionalism and discretion.
  • Demonstrated ability to work independently while effectively collaborating with multiple stakeholders.

About the Team

The Operations & Maintenance (O&M) team provides the leadership, systems, processes, and technical expertise that support the successful execution of O&M contracts across a fleet of power generation

facilities. Working closely with plant personnel, customers, and corporate stakeholders, the team develops and oversees programs that drive operational reliability, maintenance excellence, regulatory compliance, and continuous improvement. Our team serves as a trusted partner to the plants we support, helping ensure they have the tools, resources, and guidance needed to safely deliver reliable power while meeting customer expectations and business objectives.
