As a Business Administration Coordinator, you will provide essential administrative and operational support to Operations Managers and their teams of offshore wind technicians, ensuring the smooth and efficient execution of construction site activities. You will coordinate day-to-day administration, financial processes, resources, logistics, and office operations, acting as a key point of contact for the field team. The role requires strong organizational skills, a proactive approach to problem-solving, and excellent communication in English to effectively collaborate with multiple stakeholders in a dynamic, international environment.
How You’ll Make an Impact
- Provide administrative support to Operations Managers and offshore wind technicians, including time registration, travel expense claims, scheduling, and coordination of daily activities.
- Coordinate the procurement, distribution, and inventory of Personal Protective Equipment (PPE), work clothing, office supplies, and other materials required by the team.
- Support financial administration by assisting with annual budgets, monitoring monthly budget activity, processing invoices, and supporting purchasing activities.
- Act as the primary point of contact for office-related matters, managing correspondence, phone calls, emails, and general administrative requests.
- Prepare and maintain presentations, reports, statistical charts, meeting minutes, protocols, and other documentation required by management.
- Maintain accurate physical and electronic records and support the implementation of new office technologies and systems to improve administrative efficiency.
What You’ll Bring
- University degree, preferably in Administration, Business Management, or a related field.
- Previous experience in an administrative, office coordination, or similar role, preferably within a large international organization.
- Strong organizational and coordination skills, with the ability to manage multiple priorities and deadlines effectively.
- Experience with financial administration, including budgeting, invoicing, purchasing, or expense management.
- Proactive and resourceful approach to problem-solving, with the ability to work independently in a dynamic environment.
- Fluent English and Polish, both written and spoken, with strong communication and interpersonal skills.
