In this role, you will have to ensure the office runs smoothly by coordinating daily operations, supporting corporate team, business functions and management, managing vendors, handling documentation, processing administrative requests, and organizing meetings, travel, and company events. You also serve as a key contact point between employees, management, external suppliers, and service providers.
How You’ll Make an Impact
The specific responsibilities and deliverables associated with this role include but not limited to:
1. Executive Support
• Collaborate with the administration team to coordinate travel itineraries and visit arrangements for senior executives visiting Taiwan.
•Assist Hub China executives with Taiwan entry permit applications and related coordination.
2. Office Administration
• Manage company seals/chops and approval processes.
• Receive and distribute mail and packages.
• Coordinate courier services (DHL, CTC).
• Maintain office supplies and stationery.
• Manage lockers and general office facilities.
• Support office maintenance and workplace operations.
3. Telecom & Mobile Device Management
• Manage corporate mobile phones and SIM cards:
• Maintain telecom accounts with Far EasTone and Chunghwa Telecom.
• Handle roaming applications.
• Prepare telecom expense reports.
4. Vendor & Contract Administration
• Coordinate business card orders.
• Manage taxi account administration (55688).
• Support company car leasing and maintenance.
• Maintain supplier relationships and payment follow-up.
5. Procurement & Financial Administration for Corporate Scope
• Create and follow up Purchase Requisitions (PR).
• Support Ariba and SEFlow processes.
• Validate Goods Receipts (GR)
6. SharePoint & Document Management
• Maintain SharePoint sites and document repositories.
• Upload and manage company files.
• Archive and scan employee documents.
• Maintain internal forms, procedures, and records.
7. Corporate Memberships & Legal Administration
• Maintain company memberships and licenses:
o ECCT
o GTO
o Electrical Industry Associations
o Cogeneration Association
• Coordinate annual renewals and membership fee payments.
• Maintain corporate legal documents and certifications.
8. Ad Hoc Administrative Support
• Assist RE, BA, IT, SCM and management teams.
• Handle special projects and urgent requests.
• Coordinate internal and external communications.
• Support TI project in FS TS charge validation and billing document preparation.
What You Bring
• Bachelor’s degree in business administration or a related field preferred.
• Minimum 5 years of experience in administrative or coordination roles.
• Strong organizational and multitasking skills, with a high attention to detail.
• Excellent English written and verbal communication skills.
• Proficiency in Microsoft Office tools (Word, Excel, Outlook, PowerPoint).
• Experience working with international staff or within a multicultural setting is highly desirable.
• Familiar with SAP is a plus
About the Team
The team, including the Taichung office, consists of 6 members in total, including the Team Lead. 2 administrators primarily support the Siemens Energy business, while another 2 administrators support the Wind Power business. In addition to their assigned areas of responsibility, all team members are expected to support company-wide activities and events as needed.
