Position Title: Executive Assistant
A Snapshot of Your Day
As an Executive Assistant, you will provide high-level administrative and organizational support to the Managing Director and Finance Director of Siemens Energy in Algeria. You will play a critical role in ensuring the smooth day-to-day operations of the executive office by managing schedules, coordinating communications, and supporting key business activities.
You will work in a fast-paced, international environment, requiring strong organizational skills, discretion, and the ability to manage multiple priorities efficiently.
How You’ll Make an Impact
- Manage and coordinate complex calendars for the Managing Director and Finance Director, including meetings, appointments, and conference calls
- Organize domestic and international travel arrangements, including flights, accommodation, visas, and detailed itineraries
- Prepare and coordinate executive meetings, including agenda creation, document preparation, and minute-taking
- Plan and coordinate corporate events, workshops, and conferences
- Act as the primary point of contact for internal and external stakeholders, handling communications with professionalism and discretion
- Prepare, edit, and format confidential correspondence, reports, and presentations
- Maintain organized filing systems for both physical and digital documents, ensuring confidentiality and accessibility
- Handle sensitive business and personnel information in compliance with company policies
- Process and track expense reports, invoices, and purchase orders
- Support budget tracking and administrative coordination for the executive office
- Manage office supplies and coordinate with facilities for operational needs
- Provide general administrative support to ensure efficient office operations
What You Bring
- Bachelor’s degree in Business Administration, Management, or a related field (preferred)
- Proven experience as an Executive Assistant or in a similar role supporting senior executives
- Experience in a multinational corporate environment is a strong advantage
- Strong proficiency in Microsoft Office and standard communication tools
- Excellent written and verbal communication skills
- Strong organizational and multitasking abilities
