A Snapshot of Your Day

As the Administrative Site Assistant, you will ensure smooth daily operations at the project site by managing SAP orders and invoices, coordinating local purchasing, supporting suppliers, and maintaining site infrastructure. Your day includes assisting the General Project Manager and project leaders with documentation, cost tracking, insurance‑related processes, and maintaining up‑to‑date internal information. You will also support onboarding and offboarding activities, coordinate services, manage office logistics, and organize events that help keep the site running efficiently and professionally.

How You’ll Make an Impact

  • Manage local purchasing activities in alignment with the Procurement Department, ensuring accurate processing and documentation.
  • Control and maintain SAP work records, orders, and invoices, ensuring correctness and compliance with internal procedures.
  • Coordinate and supervise service providers for cleaning, waste disposal, IT support, scrap handling, building maintenance, meals, and site fleet.
  • Support cost tracking, insurance claim documentation, and cost accounting activities for site‑related expenses.
  • Maintain internal databases, distribution lists, organizational charts, and manage onboarding/offboarding of employees and contractors.
  • Provide comprehensive administrative support to the General Project Manager and project leaders, including event planning and general office coordination.

What You Bring

  • Executive Administrative Assistant background and/or partially completed Bachelor’s degree in Administration or a related field.
  • At least 3 years of experience in business administration roles (Project, Sales, Bid, Site Management, or Controlling); site experience is a plus.
  • Experience working in international environments, with strong willingness to work at site and collaborate with local and remote teams.
  • Proficiency in MS Office 365 and a proactive attitude toward learning new digital tools to support project operations.
  • Strong organizational, communication, and teamwork skills, with resilience and a hands‑on, self‑driven mindset.
  • High attention to detail, strong problem‑solving capability, conflict‑management abilities, and a proactive approach to enforcing standards.

About the Team

You will join a dynamic, international site team that collaborates closely across construction, commissioning, HSE, logistics, and commercial functions to deliver a high‑quality power plant and manufacturing facility. As part of the Project organization, you will contribute directly to the Factory Expansion program, working hand‑in‑hand with the General Project Manager and all project workstream leaders. The environment is fast‑paced, safety‑focused, and teamwork‑oriented, offering exposure to global operations, continuous learning, and meaningful participation in a large‑scale industrial project.
