About the role

We are seeking a highly organized and detail-oriented Operations Administrator with a strong focus on data management. The ideal candidate will be responsible for capturing, processing, and analyzing data to support our administrative functions. This role is crucial to maintaining the accuracy and efficiency of our data-related processes, ensuring smooth and effective operations. This role will report to the Operations Manager

Key Responsibilities

  • Data Entry and Management: Accurately capture and input data into databases and systems, ensuring high levels of accuracy and completeness.
  • Data Analysis and maintenance: Analyze data to generate reports and provide insights to support decision-making processes.
  • Record Keeping: Maintain and update electronic and paper records, ensuring data integrity and confidentiality.
  • Reporting: Prepare and distribute regular and ad-hoc reports to various departments, providing clear and actionable data insights.
  • Administrative Support: Provide general administrative support, including filing, scheduling, and managing correspondence.
  • Compliance: Ensure all data management processes comply with organizational policies and relevant regulations e.g. POPIA..
  • Collaboration: Work closely with other departments to understand their data needs and provide timely and accurate support.
  • Quality Assurance: Conduct regular data audits to identify and correct errors, ensuring data quality and reliability.
  • Training: Train staff on data entry and management best practices, promoting a culture of data accuracy and efficiency.

Required skills and Qualifications

  • Education: No formal tertiary qualification is required, but Ideally the candidate should have a Bachelor’s/Technicon degree/diploma in Business Administration, Information Management, or a related field.
  • Experience: Minimum of 2 years of experience in a data-focused administrative role.
  • Technical Skills: Proficiency in data management software, CRM systems, and general database systems. A high degree of proficiency in working with spreadsheet is key to this role.
  • Analytical Skills: Strong analytical skills with the ability to interpret complex data sets and generate meaningful insights.
  • Attention to Detail: Exceptional attention to detail and accuracy in data entry and analysis.
  • Organizational Skills: Excellent organizational and time management skills, with the ability to handle multiple tasks simultaneously.
  • Communication: Strong verbal and written communication skills, with the ability to present data clearly and concisely.
  • Problem-Solving: Ability to troubleshoot and resolve data-related issues efficiently.
  • Confidentiality: Demonstrated ability to handle sensitive information with discretion and maintain confidentiality.
  • Language: Fluent or native English speaker. Bonus if fluent in Afrikaans/isiXhosa/isiZulu too.
  • Work style: Able to work independently and self manage their daily activities.
