Job Description:

  • You will provide a high performing HR service to stakeholders within the business. The role supports our colleagues who operate within our Mott MacDonald offices located in Rwanda and will be focused on operational and advisory tasks.

  • You will be based in your local office.

  • The role reports directly to the HR Business Partner.

  • You will be expected to support the HR Business Partner on various HR projects and continuous improvement initiatives that support the People Strategy.

  • Employee relations, evolving workplace culture and fostering strong internal relationships with internal departments such as Talent Acquisition and Global Mobility are all key aspects of the position.

Responsibilities and tasks will include, but are not limited to the following and subject to change from time to time:

  • Support line managers throughout the various stages of employee life-cycle. Champion the people cycle within i.e. monthly payroll, annual salary reviews, merit bonuses, performance, development reviews etc.

  • Be the first point of contact for all basic general HR related queries for both employees and line managers and escalating/liaising with HRBP as appropriate.

  • Provide clear and accurate advice to employees and managers about terms of employment, employee benefits, salary structure, personal development, etc. ensuring that advice aligns to EDI (equality, diversity, and inclusion) MM practices and takes an IDS view where required.

  • Contact for all wellbeing and health-related issues and responsible for follow up.

  • Advise management on the use of Connected Conversations, talent management, training, and succession planning.

  • Employee engagement – support the development of tailored action plans.

  • Monitor leave registration, illnesses.

  • Support H&S team with relevant travel and health insurances.

  • Collaborate with HR IDS colleagues to ensure consistency in approach in implementing policies and practices and also developing and managing HR processes and procedures.

  • Support HRBP with staff mobility requirements in conjunction with the Global Mobility Team.

  • Collaborate with the Talent Acquisition Team on local recruitment needs.

  • Ensure ISMA HRSS are storing contracts, policies and ad hoc work-related documentation in English (and local language if required) and kept up to date on Sharepoint (documentation and policies 100% migrated to Sharepoint).

  • Collaborate with HRBPs to create a monthly HR dashboard for HR metrics.

  • Proactively stay up to date with local employment legislation and best practice guidance, seek out opportunities for continuous improvement.

  • Monitor employee’s business travel and escalate to HRBP and GM if any concerns.

  • Work closely with ISMA HR Shared services, NER’s, Probations, Employee life cycle.

  • Ensuring the business raise HR tickets in a timely manner, supporting as required.

  • Ensure you work closely and collaborate with your HRBP.

Compliance:

  • Comply with Data Protection and General Data Protections Regulations (GDPR) and ensure the security of employee information in accordance with legislation and best practice.

  • Support HRBP with compliance matters in line with HR procedures and ensure that all operational aspects of compliance reporting are addressed.

Candidate Specification:

  • You will have a professional HR qualification/equivalent experience that supports the level of role and responsibilities required of you.

  • Solid understanding of Local labour law and privacy legislation, illness procedures and Payroll.

  • Discretion and diplomacy in dealing with confidential information and sensitive issues.

  • Excellent written and oral communication skills in English.

  • Ability to work effectively as part of a team

  • Organisational sensitivity and interpersonal skills to build strong working relationships with colleagues at all levels and located across diverse locations.

  • Able to juggle multiple, sometimes complex tasks/projects in a demanding environment.

  • Able to always remain impartial and act as a critical friend to the business.

  • Good numeracy skills and able to analyse data, while translating these into tailored follow up actions.

  • Good IT skills and confidence/proficiency in Microsoft Office packages and HR databases.
