We are looking for an Administration Officer to join our People and Workplace Experience team as we scale up and drive digital and financial inclusion across our markets.

The purpose of this role is to oversee and manage Travel and daily administrative operations of the office ensuring smooth day to day functioning of office tasks, processes and systems. The role holder is required to have a high level of attention to detail, excellent communication, planning and organisation skills.

Key Responsibilities:

  • Build and maintain strong relationships with travel agencies, airlines, hotels, car rental companies, and other vendors to secure the best rates, services, and benefits for the company.

  • Coordinate and manage the end-to-end travel booking process, including flights, accommodations, ground transportation, and other travel-related services.

  • Collaborate with employees to understand their travel needs and preferences while adhering to budgetary constraints.

  • Collaborate closely with the Employee Health and Safety Department to ensure proper workplace safety planning and implementation.

  • Stakeholder and Supplier management- Preparation and processing of all supplier invoices for payment.

  • Prepare and share monthly travel reports while identifying cost saving initiatives.

  • Ensure the smooth running of daily office activities, including managing office supplies, coordinating equipment, and maintaining a clean and organized work environment.

  • Support planning and logistics for office events, meetings, and conferences.

  • Relationship manages all Workplace team related vendors to ensure quality service delivery.

  • Identify and manage any office related repairs and maintenance needs before they become critical.

  • Oversee the work of administrative assistants and office support staff, providing direction, training, and performance management.

  • Support on the implementation and management of all office related Employee Health and safety processes.

  • Plan, implement, and track progress of administrative projects or initiatives.

  • Oversee the maintenance and repairs of the fleet.

  • Coordinate, manage and communicate driver schedules where applicable.

  • Maintain company transport (Cab) expenses by checking on activations, expenses and mitigate cost saving alternative.

  • Ensure all fuel cards are loaded in time, track fuel expenses and share monthly reports to advise the business on expenses.

  • Ensure departmental compliance with timely incident / accident reporting requirements, vehicle inspections etc.

Education and Experience

  • 3-4 years of Experience in a similar role with supervisory experience.

  • Bachelor’s degree in Business Administration, office management or any other related field.

  • Knowledge in travel management is an added advantage.

  • Ability to maintain confidentiality and exercise discretion with sensitive information.

  • Ability to handle changing priorities and adapt to new technologies or processes.

  • Build and maintain strong relationships with vendors, clients, and internal departments.
