Support the Regional Director in the fulfillment and execution of his/her duties as the head for IUCN’s Oceania Regional Office in the efficient management of the office and in maintaining effective communication with staff.

To operate and perform a diverse range of secretarial and designated administrative duties to the highest professional standards, with considerable independence while maintaining confidentiality at all times. The incumbent is expected to uphold the integrity of office of the RD and to contribute to its character by exercising good judgement and initiative in delivery. Central to this requirement is the ability to organize and having reasonable knowledge of IUCN Oceania and the role of the Regional Director

The position encompasses the following major functions or key result areas:
• Administration services
• Office Management for the Regional Director’s office
• Communication for the Office of the Regional Director

The specific duties of this position include, but are not limited to, the following:
•Provides administration support to the Regional Director.
•Ensures that the integrity of the RD is upheld in terms of professionalism at all times.
•Works closely with the Membership Focal Point and Executive Services Officer in setting RD schedules, executive office schedules, travel, work priorities and deadlines.
•Undertake the secretarial role to the core management team and in so doing facilitate an archive of relevant core management team records for reference.
•Answers and screens enquiries and correspondence in an efficient and appropriate manner, based on familiarity with the subject matter, and refers other matters to appropriate staff members or departments.
•Organizes, prioritizes and tracks agenda, meetings, appointments and paper flow of the Regional Director.
•Provides support for meetings and conferences, and prepares all relevant documents for the Regional Director.
•Organizes travel, including flights, accommodation and other logistics and coordinates and
•Prepares documents related to travel.
•Maintains office systems, including data management and filing.
•Provides reasonable support to the Executive Office team.
•Assists in meeting and greeting visitors at all levels of seniority as and when required.
•Assists in producing documents, briefing papers, reports and presentations.
•Assists in carrying out background research and presenting findings on matters assigned.
•Prepare presentations and papers as and when required.
•Ensures the courteous, effective and efficient organization of and support to visitors including booking of rooms and refreshments as necessary.
•Provide administrative and other support to Programmes and Projects as and when required.
