Job Description

JOB OPENING FOR PROCUREMENT EXECUTIVE

Position Name: Procurement Executive

Division / Function: Procurement

Location of the Job: Abuja, Nigeria

Reports to: Associate Director, Procurement

Role Summary

The Procurement Executive will support all procurement operations in Nigeria, ensuring smooth documentation, vendor coordination, and internal process compliance. The role requires strong commercial understanding, document management skills, and the ability to work efficiently with local vendors and cross-functional teams.

Key Responsibilities

1. Documentation & Process Management

  • Prepare, review, and raise all procurement documents including PRs, POs, GRNs, service orders, and supplier onboarding forms.

  • Maintain accurate documentation and ensure all records are updated in the internal tracking systems.

  • Ensure compliance with procurement SOPs, approval matrix, and audit requirements.

  • Manage procurement trackers, including PO tracker, invoice tracker, delivery tracker, and price master.

2. Vendor Management (Nigeria Market)

  • Act as the primary contact for local vendors and suppliers in Nigeria.

  • Source, evaluate, and communicate with vendors to obtain quotations, negotiate basic terms, and ensure timely delivery.

  • Maintain updated vendor database, rate contracts, and product catalogues.

3. Internal Stakeholder Coordination

  • Work closely with Operations, Finance, Logistics, Projects, and Warehouse teams to understand procurement needs.

  • Coordinate for PR approvals, delivery schedules, material requirements, and invoice processing.

  • Support the Associate Director – Procurement in executing procurement strategies for Nigeria.

4. Invoice & Payment Reconciliation

  • Verify supplier invoices against POs, delivery notes, and contracts.

  • Resolve discrepancies in quantity, pricing, and documentation with vendors and internal teams.

  • Ensure timely submission of complete documents to Finance for payment processing.

5. Reporting & Analysis

  • Maintain weekly/monthly procurement MIS and dashboards.

  • Track savings, lead times, supplier performance, and procurement KPIs.

  • Escalate delays, vendor issues, and critical requirements to the Associate Director – Procurement.

Qualifications

Required Skills & Attributes

  • Bachelor’s degree in Supply Chain, Business Administration, Engineering, or related field.
  • 2–4 years of procurement or supply chain experience (preferably in Nigeria market).
  • Understanding of local Nigerian business culture, communication norms, and procurement practices.
  • Basic knowledge of commercial terms, import/export documentation, and taxation (added advantage).
  • Strong MS Excel, documentation, and tracking skills.
  • Excellent communication and negotiation ability.
  • Highly organized, detail-oriented, and process-driven.
