PURPOSE OF THE JOB
The Commercial Administrator provides administrative and operational support to the Commercial Manager in the execution of sales contracts, invoicing, record-keeping, regulatory documentation, and commercial reporting to ensure smooth, accurate, and timely commercial operations.
MAIN RESPONSIBILITIES
- Assist the Commercial Manager in the drafting of sales Contracts
- Update sales records and check and file all sales contracts at HQ
- Ensure the accuracy of volumes and values on all invoices
- Email invoices/receipts to timber buyers
- Assist with Forestry Commission TIDD certificate, Property Mark renewals, and relevant permit applications at District, Regional, and National levels
- Assist with compiling and sending the Bi-monthly Harvesting and quarterly Operational reports to the Forestry Commission
- Support clients with the Forestry Commission
- Support FG Forest with Forestry Commission-related activities
- Assist with the management of the FC GWTS system
- Assist in the follow-up with timber buyers on payment of agreed contract amounts
- Ensure advance payment by FG Buyers
- Ensure production figures are sent to buyers daily
- Assist in developing and implementing the Annual Sales plan and budget
- Support the carbon marketing and sales processes
- Conduct an up-to-date financial analysis of the logs and poles
- Assist in the identification and management of Commercial risk
- Prepare a monthly sales prices summary for approval and distribution
- Any other duties not exceeding your competencies.
ELIGIBILITY
- Minimum of a bachelor’s degree in a relevant field, preferably Business Administration
- At least five (5) years of relevant work experience
- Excellent communication skills and proficiency in written and spoken English.
- Proficiency in Microsoft Office Suite.
- Physically and mentally fit for the job
- Possession of a valid driver’s license
- Must have valid NHIS or related health insurance and national identity cards, and a national SSNIT number

- Accuracy and attention to detail in managing records and invoices
- Good interpersonal skills and ability to coordinate with internal and external stakeholders

- Skilled in data entry, filing, and document management
- Experience in regulatory compliance and liaison with government agencies (e.g., Forestry Commission)
- Ability to perform basic financial analysis and reporting
- High level of professionalism, discretion, and integrity
