FINANCE & ADMIN COORDINATOR

The “Ecosystem-Based Adaptation and Mitigation in Botswana’s Communal Rangelands” Project funded by GCF aims to utilize collective management of livestock and ecosystems to restore Botswana’s communal rangelands, increasing the climate resilience of vulnerable populations and reducing GHG emissions. Over 8 years, the project will undertake activities in 104 villages in Ngamiland, Kgalagadi, and Bobirwa landscape areas covering six administrative districts of Botswana. In these three areas, the Project is targeting improved management of 4.6 million hectares of rangelands.

POSITION SUMMARY - This position is based in Botswana: Bobonong, Maun, and Tshane

Reporting to the Area Manager with matrix collaboration with Head of Finance & Admin, Senior Finance Coordinator, and Procurement Manager, the Finance & Admin Coordinator will process all landscape-level financial transactions, and provide oversight of procurement, logistics, and administrative processes in line with organizational and donor policies to support program delivery across the landscape. The Finance & Admin Coordinator will help ensure efficient field operations across remote communities and contribute to accurate reporting and compliance.

RESPONSIBILITIES

Finance

  • Process invoices, payments, petty cash, and general ledger entries in CI’s financial system (Business World), ensuring accurate, timely recording.
  • Review invoices, travel expense reports, and cash advances for compliance with CI and donor policies; track and ensure timely advance liquidation.
  • Maintain monthly account‑monitoring schedules; identify and resolve discrepancies; support month‑ and year‑end close.
  • Prepare routine financial reports for landscape operations and support internal/external audits with requested documentation.
  • Monitor fuel card usage and collaborate with Procurement on controls and reconciliations.
  • Support with the preparation of monthly landscape-level reports of project expenditures and other finance and administrative. performance

Procurement & Logistics

  • Support landscape procurement planning and execution (goods, services, maintenance) in line with CI Procurement Policy and project workplans
  • Coordinate solicitation of quotations/bids, review vendor submissions, prepare purchase requests/orders, and ensure timely delivery to sites.
  • Maintain vendor relationships and records, track performance, and ensure invoices are submitted for payment.
  • Manage inventory and asset records; reconcile physical stock with system records; prepare documentation for asset disposal and updates.
  • Coordinate fleet management (licensing, insurance, maintenance schedules, logbooks) and logistics for field travel, trainings, and events in remote areas.
  • Support the Area Manager in area-level logistical and administrative tasks as required.

Administration

  • Provide general administrative support to landscape offices: records management, meeting scheduling, travel arrangements, and office upkeep.
  • Ensure confidentiality and proper filing of financial and procurement documents.
  • Coordinate on‑site meetings and trainings (equipment setup, materials distribution).
  • Support visitor and staff movements (airport pickups where applicable, field itineraries) and maintain clear communications across teams
  • Maintain landscape vehicle registers/logbooks.

WORKING CONDITIONS

  • Normal office environment.
  • Ability to travel frequently in remote areas and in remote communities.
  • Ability to work with local partners.
  • High adaptability to difficult conditions.
  • Ability for teamwork.
  • Supporting field staff in the implementation of other activities outside of its main responsibilities, if needed.
  • This role will be a fixed-term assignment.

QUALIFICATIONS

Required

  • 2 to 4 years of experience in accounting, procurement, logistics, and/or administrative operations (fund accounting experience an advantage)
  • Strong Microsoft Excel skills; familiarity with accounting principles, processes, and standards
  • Experience using financial and/or asset management systems
  • High attention to detail and ability to meet deadlines in fast‑paced, field‑based operations
  • Excellent organization and communication skills
  • Ability to work independently and as part of a diverse, multicultural team
  • Fluency in Setswana with working proficiency in English (written and spoken)
  • Valid Class B driver’s license

Preferred

  • Bachelor’s degree in Accounting/Finance/Business Administration or related field.
  • Work experience and existing networks in agriculture, NGOs, community development, local authorities, or government at the district level.
  • Experience in international non‑profit, environmental conservation, or large‑scale landscape projects.
  • Demonstrated experience in remote/under‑resourced environments and Botswana’s project areas.
